Terms of Service
These Terms of Service govern your access to and use of the Renter Logic platform, including the website, mobile applications, secure payment tracking, verification services and related services (together, the “Services”). By creating an account, subscribing, or otherwise using the Services, you agree to be bound by these Terms.
Effective from 18 October 2026 · Version 1.3 · Our Privacy Policy (effective 18 October 2026) forms part of these Terms.
1. Agreement to these Terms
These Terms form a binding legal agreement between you and Renter Logic (“Renter Logic”, “we”, “us” or “our”). You accept them by registering an account, purchasing a subscription or add-on, or using any part of the Services.
If you use the Services on behalf of an organization (for example as a landlord, letting agent, council or liaison agency staff member), you confirm that you have authority to bind that organization, and “you” includes that organization.
Some Services may carry additional terms presented at sign-up or checkout. Where additional terms conflict with these Terms, the additional terms prevail for that Service.
2. Who we are
Renter Logic operates the Renter Logic platform: a global service for tenants to secure rent and utility bill payments, obtain verifiable proof-of-address documents, manage tenancies, and share tenancy data with local government councils for tax and infrastructure planning where consented.
You can reach us at info@renter-logic.com and our Data Protection team at info@renter-logic.com.
3. Eligibility and account registration
You must be at least 18 years old to register an account. Registration requires a valid email address and, for all account types, your occupation.
You must provide accurate, current and complete information during registration and keep it up to date. Providing false, misleading or third-party information without authority is a material breach of these Terms.
You are responsible for the security of your credentials and for all activity carried out through your account. Notify us immediately of any unauthorized access.
Sign-in methods include email and password (with one-time email verification codes) and, where offered, Google sign-in. When you use a third-party sign-in provider, you authorize that provider to share the account details needed to sign you in (typically your name and email address); we never receive or store your provider password. Password-recovery flows verify your identity before access is restored.
4. Account types and verification
The Services support several account types: tenants, landlords, property agents, councils, Home Office staff, and liaison-agency staff.
Verification standards apply per account type. Tenants complete a Right-to-Rent based eligibility assessment; landlords and letting agents complete eligibility checks under the Renters' Rights Act 2025, including a PRS Database Landlord Registration Number and membership of a government-approved ombudsman scheme. Council and Home Office accounts are restricted to official government email addresses and require staff-level code verification.
Verification of your identity, eligibility or documents is performed server-side against our trust framework. We may request further evidence, re-verification, or refuse verification where results are inconclusive or evidence is not authentic.
Verification states are recorded by the platform and cannot be altered by client-side edits. Accounts whose key compliance document expires return to inactive status until renewal is verified.
Digital identity checks may include biometric processing (a live selfie compared against your identity-document portrait, with presentation-attack detection), performed in line with the UK digital identity and attributes trust framework and GPG 45 good practice. Biometric evidence is processed only with your explicit consent, stored privately, and used for no other purpose.
5. Subscriptions, fees and payments
Tenant payment-tracking and verification services are provided under a flat annual tenant plan (£30 per year, or £4 per month) with no per-transaction fees; the Managed Electoral Move (the dated, QR-verifiable electoral application certificate and priority re-sends) is included with the tenant plan at no extra charge. Landlord and agent plans, premium re-verification credits, applicant-check bundles, featured-listing boosts, utility concierge fees and council data licences are charged as published on the pricing page at the time of purchase.
Prices are shown in the currency displayed at checkout. Payments are processed by our regulated payment provider (Base44 Payments). We do not store your card details.
Subscriptions run for the period you select and are charged in advance. Access to subscription-gated Services is active only while your subscription is valid; when a subscription expires, gated Services are paused until payment resumes.
Bank-transfer subscriptions are activated only after confirmed receipt by our team and may require verification against your recognized bank account.
Except where required by law, fees already paid are non-refundable once the paid-for period or service has started.
6. Wallet and payment-record services
The Services let you record rent and utility bill payments you make from your recognized bank account, request confirmation from the recipient, and obtain verifiable proof-of-address receipts for verified payments.
Payment records are evidence-tracking tools. Unless expressly stated, Renter Logic does not itself transfer rent or utility funds between you and your landlord, letting agent or utility provider, and we are not a party to your tenancy agreement or supply contracts.
Records you submit must be truthful and supported by genuine transactions. We may reject, reverse or annotate records we cannot verify. Falsifying payment evidence is a material breach and may be reported where the law requires.
Tenant deposits held for utility-bill concierge processing are strictly time-bound and used only for immediate payment of rent or utilities as instructed.
Proof-of-address receipts, certificates and statements carry unique numbers, QR codes and verification codes. They are issued only for verified records and must not be altered or used to misrepresent your circumstances.
7. Verification and proof-of-address services
Renter Logic provides multiple proof-of-address methodologies, including landlord-confirmed receipts, bank-verified certificates and address-history verification.
Bank-verified documents are clearly labelled “Bank-Verified” and are issued only where deterministic evidence thresholds are met from your own bank statement. Bank-verified analysis reads only the payments and details necessary to establish the certified address, and your statements are stored privately.
Verification codes embedded in our documents allow authorized organizations (embassies, banks, employers, government bodies and others holding valid access) to confirm authenticity. You must not share verification codes beyond the purpose for which a document was issued.
We may suspend or revoke any document where we detect fraud, tampering, or that the underlying evidence was invalid, and will notify affected parties where legally required.
8. Quick Check applicant screening
The Quick Check Service lets registered landlords and letting agents request tenant checks for a specific property case. Requesters must declare their legal identity, registration numbers and ombudsman or CMP scheme membership, and provide proof of eligibility.
Applicants consent to the checks before any screening begins and can see what package of checks applies. Automated checks run only after payment, and a paid case that cannot complete after repeated attempts is escalated for manual review rather than abandoned.
Check reports follow recognized good-practice frameworks for identity checking and are issued with a report number and verification code. Reports are for lawful tenancy decisions only and must be handled in line with applicable data protection law.
Case tokens, report verification codes and eligibility documents are protected against guessing and abuse; repeated failed attempts trigger temporary lockouts.
9. Council, Home Office, electoral and agency data sharing
Where you have consented, tenancy events (such as tenancy starts and ends) are notified to your local area council for tax and infrastructure planning. Council access to area data is licensed per council and released only while the licence is active and the requesting council staff member has verified the council's unique number.
Electoral Address Update service: verified, subscribed tenants may submit an attested change-of-address application which we relay to the electoral services team of the enrolled borough council (or, in Northern Ireland, the Electoral Office for Northern Ireland). Applications are attested against your platform-verified identity, carry a unique application number and verification code, and are delivered only to councils whose official electoral services address we have enrolled.
Your electoral register number is self-declared: third parties cannot access the electoral register, so it is never presented as platform-verified, and the Electoral Registration Officer's own records and determination remain the only source of truth. The Managed Electoral Move — a dated, QR-verifiable application certificate and priority re-sends — is included with your tenant subscription, as are the attestation and relay of your application.
Liaison agencies (housing ombudsman schemes, environmental health teams and the rent-repayment tribunal route) receive complaint and compliance cases through our professional liaison channel under their verified access codes.
All organizational access is jurisdiction-scoped, staff-bound, code-verified and logged in our security audit records. Access can be revoked by us or by the organization at any time.
10. Acceptable use
You agree not to: misuse the Services or interfere with their operation; attempt to access data, cases or accounts that are not yours; circumvent authentication, verification, lockouts or security controls; upload malicious code; scrape or resell the Services or their data; impersonate any person or organization; or use the Services for unlawful purposes, including money laundering, sanctions evasion, or housing discrimination.
Files you upload must comply with our size and format limits and contain only what the relevant feature requires. Do not upload content you have no right to share.
We may investigate suspected breaches and suspend access while doing so, and we may report unlawful activity to competent authorities.
11. Intellectual property
The Renter Logic name, logo, platform, software, documents, designs and content are protected by intellectual property laws. We grant you a limited, revocable, non-exclusive, non-transferable licence to use the Services for their intended purposes during your account's good standing.
You retain rights to your own documents, statements and communications you submit. You grant us a limited licence to process them solely to provide, secure and improve the Services and comply with legal obligations.
Documents we generate for you (receipts, certificates, reports and statements) are for your legitimate use and verification by the parties they name; bulk reproduction or resale is not permitted.
12. Data protection and privacy
Our handling of your personal data is described in the Privacy Policy, which forms part of these Terms. In summary: row-level security ensures users can only view their own personal information and financial records; documents are stored privately with ownership-checked, short-lived access; messages between tenants, landlords and councils are end-to-end encrypted; and data-subject rights (access, rectification, erasure, restriction, portability, objection) can be exercised through the Data Protection settings or by contacting our Data Protection team.
You can grant and withdraw optional consents at any time; withdrawing a required consent limits the Services we can provide.
13. Service availability and changes
We aim for high availability and fast performance, but the Services are provided without a guarantee of uninterrupted or error-free operation. We may carry out maintenance, and features may be added, changed or withdrawn as the platform evolves.
Where a change materially reduces a paid feature you rely on, we will give reasonable notice and, where fair, an appropriate remedy such as a pro-rata credit for the affected period.
14. Suspension and termination
You may delete your account at any time from the Data Protection settings; we will permanently wipe your personal data across the platform and confirm completion.
We may suspend or terminate your access where you materially breach these Terms, where verification fails, where we detect fraud or security risk, or where required by law. Where practicable and lawful, we will tell you the reason and any route to remedy.
On termination, records we must retain by law (for example payment and Right-to-Rent records) are retained for the legally required period and then deleted.
15. Disclaimers
The Services provide record-keeping, verification and information tools. They do not constitute legal, financial, immigration or investment advice, and they do not replace your own legal obligations as a tenant, landlord, agent or organization.
Verification outputs are only as reliable as the evidence supplied. We verify document authenticity, consistency and evidence depth deterministically, but we cannot guarantee the truthfulness of all declared information.
To the fullest extent permitted by law, the Services are provided “as is” and “as available”, and implied warranties are excluded except where such exclusion is unlawful.
16. Limitation of liability
To the fullest extent permitted by law, Renter Logic is not liable for indirect, incidental, special, consequential or punitive damages, or for loss of profit, revenue, data, goodwill or tenancy, arising from your use of the Services.
Our total aggregate liability for direct losses arising from the Services is limited to the greater of the fees you paid to us in the twelve months before the event or £24.
Nothing in these Terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be excluded under applicable law.
17. Indemnity
You agree to indemnify and hold harmless Renter Logic and its personnel from claims, damages, losses and reasonable legal costs arising from your breach of these Terms, your unlawful use of the Services, or documents and information you submitted that were false or obtained without authority.
18. Governing law and disputes
These Terms are governed by the laws of England and Wales, without prejudice to mandatory consumer protections in your country of residence.
We aim to resolve concerns fairly and quickly: contact us first at info@renter-logic.com. If a dispute is not resolved informally, it will be subject to the exclusive jurisdiction of the courts of England and Wales, except that consumers may also bring proceedings in their country of residence and may use the UK Information Commissioner's Office or Financial Ombudsman Service where applicable.
19. Changes to these Terms
We may update these Terms to reflect changes to the Services, the law or our practices. Material changes will be notified in the app with the new version number and effective date. Continued use after the effective date means you accept the updated Terms.
